This Privacy Policy explains how personal data is collected, used, stored, disclosed and protected when users access or use the AtSea Job platform (the “Platform”).

By using AtSea Job, creating an account, uploading a CV, applying for a vacancy or otherwise providing personal data through the Platform, the user acknowledges that they have read this Privacy Policy.
1. Personal Data We May Process
Depending on how AtSea Job is used, we may process the following categories of personal data.
Account information: first name, last name, email address, telephone number, securely stored password credentials, interface language and account preferences.
CV and professional profile information: rank, qualifications, employment history, sea service, vessels served on, vessel types, employers, shipowners and crewing or management companies, contract dates, main engine details, DWT, engine power, professional skills, education and language proficiency.
Documents and certificates: passport information, Seaman's Book, Certificates of Competency, endorsements, STCW certificates, visas, Flag State documents and other professional documents.
Personal information: date and place of birth, nationality, country of residence, address, nearest airport, marital status and other information voluntarily included in a CV.
Next of Kin information, where such information is voluntarily provided by the user.
User photograph, including photographs contained within uploaded CVs.
Document validity information, including expiry dates of certificates, passports, medical documents and other professional documentation.
Certain CVs may contain medical fitness, vaccination or other information that may qualify as sensitive or special-category personal data under applicable laws. We process such information only to the extent necessary to provide the Platform's functionality and maritime recruitment services and, where required, on the basis of appropriate consent.
2. Automated CV Processing and Artificial Intelligence
AtSea Job may use automated technologies, including artificial intelligence, to analyse uploaded CVs and documents.
Such processing may be used to:
identify the structure of a CV;
extract names, contact information and rank;
identify sea service history;
identify vessel types;
extract certificate and document information;
extract profile photographs;
automatically populate user profiles;
assist with candidate and vacancy matching.
Automated recognition may produce errors.
Users are therefore provided with the opportunity to review and correct extracted information before saving or publishing their CV.
AtSea Job does not recommend that employers make recruitment decisions solely on the basis of automated processing without human review.
3. Purposes of Processing
Personal data may be used for the following purposes:
creating and maintaining seafarer profiles;
generating electronic CVs;
enabling employers and crewing companies to search for candidates;
publishing and searching vacancies;
submitting job applications;
inviting candidates to interviews;
facilitating communication between candidates and employers;
conducting online interviews;
managing recruitment processes;
monitoring certificate and document validity;
sending system notifications;
account recovery;
maintaining Platform security;
preventing abuse and unauthorised access;
analysing and improving AtSea Job;
complying with applicable legal requirements.
4. Visibility of CVs to Employers
Users understand that one of the primary purposes of AtSea Job is to facilitate maritime recruitment and employment.
Depending on the user's settings, professional profiles and CV information may be accessible to registered employers, shipowners, ship managers, technical managers, crewing companies and their authorised representatives.
Users should avoid including information that is unnecessary for recruitment purposes in areas visible to employers.
Access to certain documents or personal information may be restricted depending on Platform functionality and privacy settings.
5. Employers and Registered Companies
Companies registered on AtSea Job may obtain access to candidate information for recruitment, applications, invitations and interviews.
Once a company receives candidate information, that company may act as an independent data controller in relation to its subsequent processing activities under applicable law.
INMARINE-FZCO cannot control processing performed outside the AtSea Job infrastructure, for example where an employer downloads a CV or transfers information into its own recruitment or HR systems.
6. Interviews and Internal Comments
AtSea Job may provide tools for conducting and managing candidate interviews.
Authorised users of a registered company may create internal comments, assessments and notes relating to interviews and candidate evaluation.
Such information is intended to be accessible only to authorised users of the relevant company and, where necessary for technical support, security or dispute resolution, authorised Platform administrators.
7. Legal Basis for Processing
Depending on the applicable jurisdiction, personal data may be processed on the basis of:
user consent;
performance of a contract or provision of services requested by the user;
legitimate interests of the Platform operator;
legitimate recruitment interests of employers;
compliance with legal obligations;
other lawful grounds available under applicable law.
Where processing relies on consent, users may withdraw their consent where permitted by applicable law.
8. Disclosure to Third Parties
We do not sell users' personal data.
To operate AtSea Job, certain information may be processed by service providers including:
hosting providers;
server infrastructure providers;
email delivery services;
data storage providers;
cybersecurity providers;
video communication providers;
document recognition and artificial intelligence technology providers;
analytics providers where the necessary consent has been obtained.
Service providers receive access only to information reasonably necessary to perform the relevant services.
9. International Data Transfers
AtSea Job users and employers may be located in multiple countries.
Personal data may therefore be processed or transferred outside the user's country of residence, including to the United Arab Emirates and other jurisdictions where Platform users or technical service providers operate.
Where required by law, appropriate organisational and contractual safeguards are used in connection with international transfers.
10. Data Retention
Personal data is retained only for as long as reasonably necessary for:
providing AtSea Job services;
maintaining the user's account;
performing contractual obligations;
protecting Platform security;
resolving disputes;
meeting applicable legal requirements.
Following account deletion, certain information may remain temporarily in backup systems or may be retained where required by law or necessary to protect legitimate legal interests.
11. Security
We use reasonable technical and organisational measures to protect personal data against:
unauthorised access;
accidental loss;
unlawful disclosure;
alteration;
destruction;
misuse.
User passwords should not be stored in plain text.
Where an account is created by an administrator or employer, the user may receive a temporary password and may be required to create a new password upon first login.
However, no information system or method of transmission over the Internet can guarantee absolute security.
12. Electronic Communications
AtSea Job may send users:
registration confirmations;
temporary passwords;
account recovery messages;
application notifications;
interview invitations;
vacancy notifications;
important service and security communications.
Essential service communications may be sent regardless of the user's marketing communication preferences.
13. Cookies and Similar Technologies
AtSea Job may use cookies and similar technologies for:
user authentication;
retaining language and interface preferences;
security;
maintaining user sessions;
analysing Platform performance;
improving the user experience.
Non-essential cookies and analytics technologies may be activated only after obtaining the user's consent where such consent is required by applicable law.

14. User Rights
Depending on applicable law, users may have the right to:
receive information about the processing of their personal data;
access their personal data;
correct inaccurate information;

AtSea Job is designed for professional employment and recruitment and is not intended for children.
Users must have the legal capacity and minimum age required to use employment and recruitment services under applicable law.

The Platform may contain links to third-party websites and services.
INMARINE-FZCO is not responsible for the privacy practices, content or personal data processing activities of third-party services.
18. Changes to this Policy
We may update this Privacy Policy from time to time to reflect changes in AtSea Job functionality, applicable laws or our processing practices.
The current version will be published on the Platform together with the latest revision date.
Where changes are material, users may also be notified through available communication methods.
